The ministry record

Three views a bishop’s office needs.

Who holds what, what’s vacant, and what’s coming — without ringing three departments to assemble the answer.

Roles, postings & posts.

Every appointment against any level of the hierarchy with start and end dates — and establishment posts with funding sources tracked separately from the people currently in them, so the structure survives the changes.

Vacancies as a process.

Templated vacancy-in-post workflows with steps, reminders and progress tracking — the same dependable sequence from resignation to institution, every time.

Succession, at a glance.

A dashboard of roles ending this year and incumbents approaching retirement — the conversations that go better started early, surfaced early.

In the detail

The whole ministry journey.

The formal records, the transitions and the everyday HR — attached to the person, not scattered across teams.

Role transitions workbench

Start, end and hand over roles with scheduled transitions and a revert option — the messy fortnight around a handover, made orderly.

Licences, tenure & PTO

Clergy licences, common tenure and permission-to-officiate records with dates and conditions — current, queryable, evidenced.

Curacy to preferment

Curacy placements and reflections, sabbaticals, suspensions with task checklists and interested parties, and preferment notes — the sensitive records, handled properly.

MDR cycles

Ministerial Development Review cycles, categories and overdue tracking — the reviews happen because the system remembers.

HR self-service

Expense claims, leave requests, rotas, staff employment records, travel logs, job openings and applications — through the portal, not the inbox.

One person, one record

Roles link to training, DBS and history on the same contact — so the safeguarding picture and the appointment picture never disagree. See safeguarding →

Before the first post

The journey starts long before a licence.

Discernment, training and lay ministry are usually the last things to reach a diocesan system — which is why they are usually the things still living in a DDO’s spreadsheet.

Vocations candidates

Candidates tracked through discernment with their pathway and stage, so the question “where is everyone up to?” is a screen rather than a round of emails.

Ordinand training records

Training institution, pathway and expected completion held against the candidate — and carried forward into the curacy when they arrive, rather than re-keyed.

Ordination records

Deaconing and priesting recorded as events on the person, which is what makes seniority, anniversaries and the ordination-date projections downstream possible at all.

Lay ministers & their licences

Licensed lay ministers with their own licence lifecycle — issued, renewed, expiring — counted separately from clergy in every total, because they are a different thing and conflating them flatters the numbers.

Statements of Particulars

Issued, varied and reviewed, held against both the post and the person, so the current version of somebody’s terms is never a question. Statutory compliance →

Into the establishment

Every posting resolves to a post on the establishment register — which is what turns a list of people into a deployment picture you can plan against. Clergy workforce planning →

Before / after

The vacancy, then and now.

A representative example rather than one diocese’s story — how a vacancy round typically changes shape.

Before
  • The vacancy list is a Word document, updated when someone remembers.
  • Each vacancy runs on the archdeacon’s personal checklist.
  • Retirements surprise everyone except the person retiring.
  • “Who holds their licence, and until when?” takes two phone calls.
After
  • Vacancies are live records with stages, owners and reminders.
  • Every vacancy follows the same templated workflow — nothing skipped.
  • The succession dashboard shows the year ahead, today.
  • Licences, tenure and PTO are on the person’s record, with dates.
Church schools

Governors are role-holders too.

The people side of the church school relationship, held with everyone else.

Foundation governors

Governor records per school, classified into foundation, ex-officio and other, imported from the national governance extract. Where a foundation seat is vacant it shows as a vacancy rather than as silence.

The clearest available proxy

Foundation-governor coverage is about as good a measure as exists of whether a church and its school are connected in practice or only on paper.

SIAMS & inspection history

Inspection outcomes and dates per school, so the pattern across a deanery or archdeaconry is visible without assembling it by hand each time the board asks.

Drawn from the national register

Schools arrive with their URN and phase from the Department for Education’s own data, so the list stays current without anyone maintaining it. See integrations →

A diocese doesn’t manage posts or people — it manages the relationship between them, over time. That’s the record that has to be right.
