① Login & onboarding

Parishes onboard themselves.

Your diocesan office is not a helpdesk. The portal opens with a magic-link welcome email, a self-serve password reset, optional 2FA, and an interactive tour that walks first-time users through every page they're allowed to see. Helpdesk volume drops because new users self-orient.

Email + password login

Self-service login at /login with "remember me" and email verification.

Two-factor authentication

Optional TOTP second factor — protects parish data without paid SSO licences.

Magic-link onboarding

Parish admins arrive by emailed link. No helpdesk ticket, no manual provisioning.

Personalised dashboard

Lands every user on a "your outstanding items" home page — declarations due, surveys open, returns unfiled.

Role-aware navigation

The top nav only shows what each user is permitted to see. Treasurers don't see safeguarding.

Session-bridge for support

Diocesan staff can step into a parish session (with audit) to reproduce issues.

② Money matters

Treasurers see the same numbers you do.

Parish share, Gift Aid, expenses and accounts — all driven from the same record the diocesan finance team writes. Treasurers stop asking "what does the diocese think we owe?" They can see it. Reconciliation calls drop. PCC papers are written from real data, not from last quarter's screenshot.

My parish share

Live commitment, target, current position and history. Anonymised peer comparisons at deanery level.

Public parish share view

A non-authenticated summary, level by level — answers parishioner questions without a phone call.

Gift Aid declarations

Sign new declarations online, single or multi-parish scope. Withdraw with one click. In force the moment they're signed.

Expenses submission

Multi-line claims from a phone, with categories. Pending / approved / paid status visible.

My parish accounts

Permission-gated parish-facing summary — the same view the diocesan finance team sees.

Receipts & status

Treasurers see what's been received, queried or rejected without emailing finance.

③ Annual cycles

APCM, Form C, Articles of Enquiry — online.

The annual paper avalanche: APCM returns, electoral-roll updates, churchwarden declarations, Form C, Articles of Enquiry. All become normal online forms with save-and-resume, draft state and approval workflows. Multi-parish churchwardens complete one return per parish in one place.

APCM return

Submit the Annual Parochial Church Meeting return online. Save as draft, submit when the APCM has taken place.

Electoral Roll Year

Edit the parish's electoral roll year directly — no paper, no posting it to Church House.

Churchwarden Declaration

Annual declaration online with one signature. Status visible to archdeacons in real time.

Form C (Certificate Declaration)

Statutory church-by-church review and final confirmation. Each year's submission accessible for review and PDF print.

Visitation booking

Book the archdeacon's visitation directly into the diocesan calendar — lands in the right diary instantly.

Articles of Enquiry

A 30-page Word document becomes a save-and-resume online flow. Year-on-year change becomes genuinely analysable.

④ Net Zero, parish-side

Parishes engage with their own carbon footprint.

Not a national headline — their own number. Treasurers and churchwardens submit meter readings from a phone in the boiler-room, see the impact on their parish dashboard immediately, and watch their contribution roll up to deanery and diocesan totals. What used to be a quarterly spreadsheet email is now a 30-second mobile form.

My parish carbon picture

YTD emissions, scope 1+2 breakdown, per-church readings — only for parishes the user is authorised to see.

Per-church detail

Each church's contribution shown separately. Useful when the parish has more than one building.

Submit a meter reading

Single-screen entry with date, value and notes. Mobile-friendly for field submission.

Reading history per meter

Past readings visible per meter for sense-checking. Diocesan team sees them the moment they land.

Visitor hours per church

Update opening times that feed the public-facing church directory and external listings.

Eco Church status

Award progression per parish, auto-synced from the national Eco Church register.

⑤ Events, training & knowledge

Mandatory training takes itself off the to-do list.

Course catalogue, event bookings, surveys, knowledge base, leave requests, my-documents — the everyday admin a parish person needs, in one place, with mobile-first UI. Most "how do I…?" questions answered before they reach the helpdesk.

Course catalogue & booking

Browse training, view dates and prerequisites, book yourself on. Training history visible on the user's profile.

Events & bookings

Browse upcoming diocesan events. One-click booking and cancellation. A public "What's on" calendar visible without login.

Surveys

Multi-question online flow with progress bar. Response rates rise because download→fill→email-back is gone.

Knowledge base

Browseable categorised articles for parish staff with full-text search. Public help landing page included.

My documents

Documents the diocese has shared with the user (licence, MDP, faculty paperwork). Direct, audit-logged download.

Leave & rota

Submit leave with type and dates. See remaining entitlement and your assigned shifts.

⑥ PCC policy library & generator

Parishes never have to start a policy from scratch.

The diocese maintains the templates centrally. The portal renders a parish-customised version of every policy — with the parish's complaints contact, web address, named officers all auto-substituted. The diocese knows in real time which parishes are current, and PCC adoption is a recorded decision — not an institutional memory.

Policy library

Every policy applicable to the parish, with adoption status and version. Per-parish RAG showing what needs attention.

Policy generator

Render a parish-customised version of a central template — tokens auto-filled from parish settings.

Render diff

Compare two renderings to see what changed between versions — defensible at PCC.

Submit for approval

If the parish needs to deviate, upload their version and submit for diocesan approval.

Adoption record

PCC adoption recorded with date and approver. No more "I'm sure we approved it at some PCC".

Inspection bundle

One-click download of every policy as an inspection-ready bundle — the visitation answer, in seconds.

⑦ Parish people & service cover

Parishes manage their own contacts.

Parish admins maintain their churchwardens, treasurer, PCC secretary and electoral roll officer themselves — updates flow back to the diocesan record automatically. The diocesan record is no longer at the mercy of an annual return. Parishes always know who their archdeacon is — without phoning Church House.

My parish people

Parish admins manage their own contacts — clergy, churchwardens, treasurers, PCC secretary, electoral roll officer.

Self-service updates

Address, phone, email and role changes flow straight to the diocesan record.

Online directory

Searchable directory of every diocesan post-holder, by archdeaconry, deanery, benefice and parish.

Service cover map

Live map of who is currently in post and where there are vacancies. Drill into a deanery for clergy + retired + lay-led cover.

Suggest training

Suggest a training course for someone in the parish — routed to the right diocesan team.

Request login email

Send a colleague their portal login link without involving the diocese.

⑧ Public pages & web forms

Your public face, generated from one record.

The portal also serves the unauthenticated visitor — a public church directory with visitor hours, a published Net Zero dashboard, a "What's on" calendar, dynamically-rendered web forms. Never out-of-date, because there is no second copy.

Public church directory

Visitor hours, location and contact for every church. Maintained by parishes, surfaced to pilgrims.

Public events calendar

A "What's on" calendar visible without login. Same data as the back-office.

Public Net Zero dashboard

Diocesan emissions story, published. Parishioner-credible and funder-credible from day one.

Public parish share

Anonymised parish-share summaries for transparency — the answer to the question PCCs always ask.

Web forms

New diocesan forms (expressions of interest, applications, surveys) launch in minutes — no developer involvement.

RSS feed & daily Prayer Diary

A diocesan RSS feed for partner sites, plus a public mobile-friendly daily prayer page.

⑨ Mobile, off-site & future PWA

The portal is a phone-first product.

Every page is built mobile-first, because every parish person is a volunteer with a phone in their pocket and ten minutes between things. A churchwarden submits a meter reading from the boiler-room. A treasurer signs a Gift Aid declaration on the way home from PCC.

Roadmap: an offline-first PWA with geo-suggested parish, photo upload and sync-on-online — taking the back-office field-work flows mobile too, so an archdeacon will (post-PWA) log a visit from a parish car-park, even without signal.
